When a business needs a CRM
- Enquiries live in notebooks, spreadsheets and managers' personal phones
- Nobody can say straight away how many deals are in progress and what stage they are at
- Clients complain they were never called back, and there is no way to find out where it was dropped
- A manager resigns and takes part of the client base with them
- Management rebuilds the weekly report by hand from several spreadsheets
- A CRM has been paid for, but the team still works around it
- Advertising is running, but there is no way to calculate cost per lead or whether it pays off
What does CRM implementation from SYSADMINOFFICE include?
Process analysis and scope of work
- We map how a lead actually moves today: where it comes from, who picks it up, where it goes cold
- Funnels, stages, required fields and triggers are agreed before anything is configured
- A scope of work listing every task at a fixed price — you can see what you are paying for
System configuration
- Sales funnels, deal statuses and the customer card built for your niche, with no filler fields
- Automation: task creation, reminders, emails and status changes driven by triggers
- Roles and access rights: a manager sees their own deals, a director sees everything and the reports
Integrations
- Telephony: IP PBX or a cloud service — an inbound call opens a deal and the recording lands in the card
- Messengers and social: Telegram, Viber, Instagram, Facebook — every conversation in one window
- Website and forms, chatbots, email, Google Analytics and accounting systems
Data migration
- Contacts, deals and correspondence history moved from Excel, Google Sheets and accounting systems
- Migration from another CRM together with files, comments and dates — no history left behind
- Database cleanup: duplicates removed, phone numbers and addresses normalised to one format
Team training
- Live sessions run separately for managers and for executives — they use the system for different things
- Video guides recorded against your processes, so each new hire is not taught from scratch
- A short working standard: what a manager enters into the CRM, and at exactly which moment
Launch and support
- A pilot launch with one department first, then a rollout to the whole team
- 3 months of support included in the implementation price: fixes, questions, extra training
- Reports and dashboards for management: stage conversion, manager workload, reasons deals are lost
How implementation runs: 5 steps
-
1
Interviews and funnel review
2-3 daysWe talk to the director and the sales team, map how a lead moves today, and pick a platform for your process and budget.
-
2
Scope of work
2-3 daysEvery task, integration and report listed at a fixed price and deadline — so nothing gets "added on" for extra money later.
-
3
Configuring the CRM around your processes
3-5 daysFunnels, fields, access rights, automations, telephony and messenger connections.
-
4
Database import
1-2 daysMoved with cleanup and deduplication: verified on test data first, and only then loaded for real.
-
5
Training and pilot week
2-3 daysTraining for the team, a week of work on live deals, fixes based on what it surfaces, then handover.
Off-the-shelf CRM on your own, or turnkey implementation?
| Parameter | On your own | Implementation with SYSADMINOFFICE |
|---|---|---|
| Getting started | Sign up, start the trial, work the rest out yourself | A scope of work built around your processes before anything is configured |
| Funnel and fields | The vendor's demo example, which does not match how you actually sell | Funnels, statuses and customer card built for your niche, with no filler fields |
| Telephony and messengers | You connect them yourself — in practice, nobody gets round to it | Calls, Telegram, Viber and Instagram inside the CRM from day one |
| The old database | The Excel file just carries on living alongside the new system | Migrated with cleanup, deduplication and the history preserved |
| The team | Managers quietly keep working in their spreadsheets | Training, video guides, a working standard and a supported pilot week |
| Three months in | The subscription is being paid and two people use the system | The whole team is working in it and management has reports instead of manual summaries |

Frequently asked questions
How much does CRM implementation cost?
The cost has two parts: the one-off implementation work, and the monthly subscription for the platform itself, which you pay the vendor directly. The scope of work is fixed before we start, so the final figure does not move during the project. To quote it we need to know the number of users, which integrations you need, and whether there is an old system to migrate from.
Which CRM system do you recommend?
There is no universal answer: it depends on the number of users, how complex your funnel is, which integrations you need, and the budget. In a free consultation we go through your processes and propose two or three suitable platforms, explaining how they differ for your specific case. If no off-the-shelf system covers the process, we build a custom solution.
How long does CRM implementation take?
Basic configuration and launch takes 1-2 weeks. Projects with customisation, complex integrations and a large database migration take up to 6 weeks. We break the work into stages so the team starts working in the system after the third step, rather than waiting for the whole project to finish.
Can you migrate data from our old system?
Yes. We migrate contacts, deals and communication history from Excel, Google Sheets, accounting systems and other CRMs. Files, comments and dates come across with the records, so the client history is not lost. Before the import we clean the database: duplicates are removed and phone numbers and addresses are normalised to one format.
We already have a CRM but nobody uses it. Can you fix that?
This is one of our most common projects. The cause is usually one of three: the system was configured around someone else's process, data has to be entered by hand, or nobody explained to the team why it matters. We work out what is actually broken, rebuild the funnel around your real process, connect telephony and messengers so data arrives on its own, and run training. Changing platform is not always necessary.
What if managers don't want to use the CRM?
Resistance shows up when the CRM adds work for a manager instead of removing it. So calls, emails and messenger conversations land in the card automatically, and we keep required fields to a minimum. Then come live training sessions, video guides and a short working standard. For the first week we work alongside the team and fix whatever gets in their way.
Can the CRM be integrated with our website and accounting system?
Yes, that is a standard part of the work. Website forms create deals automatically, order statuses and stock levels are pulled from the accounting system, and calls and messenger conversations are recorded in the client card. If no ready-made connector exists for your system, we build the integration through its API.
Who owns the data in the CRM?
You do. The account is registered to your company, you pay the vendor directly, and administrative rights stay with you. We work under a separate account that you can revoke at any time. You can export the entire database yourself whenever you want.
Do you provide support after launch?
Yes. Three months of support are included in the implementation price: configuration fixes, questions from the team, and training for new hires. After that there is an optional contract for ongoing support and development. Continuing is not required — the configured CRM is yours and runs without us.
