What does server IT support from SYSADMINOFFICE include?
Proactive 24/7 monitoring
- Over 50 metrics per server: availability, CPU, RAM, disk space and queue length, network, service response time
- Hardware health: disk SMART data, RAID array state, power supplies, temperature, fans, controller battery life
- OS-level signals: event logs and system logs, services that have died, page file growth, log partitions filling up
- Application services: databases, web and mail services, file shares, queues, certificate expiry dates
- Two alert levels: a warning opens a ticket, a critical alert wakes the on-call engineer at night and at weekends
- We act on the trend, not on the outage: if a disk will fill in three days, the space is added before it does
- Scheduled maintenance in an agreed window: OS, firmware and driver updates
Windows and Linux server administration
- Setup and configuration: new servers deployed, roles matched to the job, configuration changed as needs change
- System optimization: memory and disk resource allocation, bottlenecks found under real load
- Updates and patching in an agreed window, tested on a staging environment before production
- System-level security hardening: unused services switched off, password policies, encryption, action logging
- Task automation: recurring operations on a schedule, a standard build for new servers, checks that run without hands
- Database administration: backups, growth control, slow queries and indexes, scheduled maintenance
- Account and access management: provisioning and revocation, least-privilege rights, multi-factor sign-in
- Domain and directory service management: single sign-on for staff, group policies, shared resources across Windows and Linux servers
Virtualization
- Deploying and maintaining the virtualization platform, updating hypervisors without taking services down
- New machines built from a standard template — a server is up in an hour rather than a day
- Resource planning: how many cores and how much memory a machine actually needs, not what was asked for "just in case"
- Overcommit kept in check — so saving resources on one machine does not slow every machine at once
- Failover and balancing: when a physical node dies, its machines come up on a neighbour
- Migration from physical to virtual, between hypervisors and between sites, with a minimal downtime window
- Snapshot discipline: taken before changes, removed afterwards — forgotten snapshots eat disk and slow the machine down
- Network isolation between machines: staging cannot see production, the guest segment cannot see the internal one
Backup and recovery
- First we establish what actually needs copying: not "all the disks", but a list of business-critical systems and data
- The 3-2-1 rule: three copies, two different media, one off-site — so a fire or a flood cannot take it along with the original
- An immutable copy that neither ransomware nor an administrator with a stolen password can overwrite
- Schedules matched to how fast data changes: databases hourly, file archives daily, system images weekly
- Databases and applications are captured in a consistent state, not "as they lie on disk" — otherwise the restored database may not start
- Regular restore testing: once a quarter we genuinely bring a system up from a copy and time how long it takes
- Two numbers the business actually needs, recorded: how many hours until a system is back (RTO) and how much data is lost (RPO)
- Monthly reporting: which jobs ran, which failed, and what was done about it
Server infrastructure security
- Network firewall and segmentation: the server answers only on the ports it needs, and only to the addresses it should
- Automatic blocking of password guessing — after a run of failed attempts the address is cut off with no human involved
- Kernel-level confinement of process privileges: even a compromised service gets no reach beyond its own sandbox
- Least-privilege access: individual accounts instead of shared ones, key-based sign-in, multi-factor authentication for administrators
- Vulnerability management: security updates tracked for the system and the services on it, critical ones applied outside the planned window
- Encryption: protected channels for remote access and data transfer, encrypted backups and disks where that is warranted
- Logs are kept off the server itself — so they cannot be wiped by whoever got into it
- Incident response: isolating the affected machine, establishing how it was reached, restoring service and closing the gap
What 24/7 support actually means
Round-the-clock support is not "you can message us at night". It is a system that spots the problem itself, and an on-call engineer already working on it while you sleep.
- An alert goes to a queue rather than to one person: if no engineer picks it up within 15 minutes, it escalates
- A night call has its own runbook: what to do with an unreachable server, when to wake your side, when to roll a change back
- Every incident leaves a record — cause, what was done, what was changed so it does not recur. Those records are the monthly report
- Planned work happens in a window agreed with you, not whenever it suits us
- If it cannot be fixed remotely, an engineer is on site in Kyiv within 2 hours

Frequently asked questions
How much does server support cost?
The cost depends on the number of servers, their roles, and the chosen support level. Book a consultation and we will prepare an exact quote.
Do you support cloud servers (VPS/VDS)?
Yes. We administer physical servers, cloud instances with the major international providers, and VPS hosting from Ukrainian providers alike. The only difference is where the capacity comes from — the administration, monitoring and backup work is the same.
What happens during a critical outage at night or on a weekend?
Our on-call engineer is automatically alerted by the monitoring system. Response time is within 15 minutes, around the clock. Critical incidents are handled with the highest priority.
Do we need to give you our server passwords?
We need administrative access to do the work. All credentials provided are stored in a secure password manager. We sign an NDA and are legally responsible for confidentiality.
How quickly can you start providing support?
After signing the contract, we complete an infrastructure inventory within 1–2 business days and connect monitoring. Full support begins from day one.
Can we buy support for nights and weekends only?
Yes. Some clients keep their own administrator for weekdays 9 to 6 and hand us the nights, weekends, holidays and leave. Monitoring still runs around the clock; we respond outside your working hours. It costs noticeably less than the full package and covers exactly the hours when nobody is there.
What happens if a server fails physically?
First we bring the services back up from backup on other hardware or in the cloud so the business keeps running, and only then deal with the metal. In parallel we arrange the replacement — under warranty, from your spares, or newly sourced. This is exactly why restore testing is on the regular work list: the scenario has to be rehearsed before it is needed.
